PortalBase vs paper checklists.
Paper is the right tool in plenty of cases. We sell an app, so here is where paper is better, where it breaks, and how to decide.
Side by side
| paper | PortalBase | |
|---|---|---|
| To get started | A clipboard and a printer. Templates exist, including ours. | A rollout, with your people and sites loaded in. |
| No signal, no battery | Works anywhere, always. | Training, forms and inspections work with no signal and sync later. A dead phone doesn't work. |
| Finding last year's check | A box, a binder, or a search by hand. | Records are kept in one place and can be looked up. |
| Proving it was done | A signature and a date, if someone filled it in and kept it. | A time-stamped record, with the person who signed and the photos on a failed step. |
| A failed check | A note on the sheet, and someone has to carry it to the right person. | A failed step opens a repair, and a corrective action has an owner and a due date. |
| Seeing what's overdue | Walk the site, or read the stack. | A list of what's open, what's late and who it's with. |
| Spanish and English | Whatever you print. | English and Spanish. |
About us: PortalBase is new, founded October 2026.
When paper is the better pick
- You run one small site and one or two daily checks.
- Nobody on the crew carries a phone, or phones aren't allowed in the work area.
- You need something today.
- The check is rare, and nobody will ever search for it.
When PortalBase is the better pick
- You have many checks, many sites or many people, and can't see what's been done.
- Failed checks keep getting lost between the sheet and the person who can fix them.
- An auditor, an insurer or a customer asks for last year's records and you can't find them.
- Training records live in a spreadsheet that's always out of date.
Start with paper if you're unsure. Our free templates download as PDF, Word and Excel. Move the checks that hurt most to a phone first, and keep paper where it works.
Try it on one job.
Bring us one real job. We'll show it on a phone, with no signal, and say plainly if we're not the fit.
Common questions
- Is paper compliant?
- Many rules let you keep records on paper. What counts depends on the rule and your program, so check the standard and your own procedure. Paper isn't wrong. It's hard to search and easy to lose.
- When is it worth moving to an app?
- When you can't answer "was this checked, and what happened to what failed?" in a minute. That's usually when the number of checks or sites gets past what one person can keep track of.
- Where do I get free paper templates?
- Right here. Every checklist and form under Free tools prints as a PDF, and downloads as Word and Excel.
