Healthcare

The annual in-service shouldn't need a computer lab and a Friday afternoon.

PortalBase puts staff trainings, competency checks, rounding logs and equipment checks on the phone and on the shared workstation at the end of the hall. It records what your staff learned, checked and reported. It doesn't touch patient care. Everything saves on the device and syncs when signal comes back.

In the app

What a healthcare crew opens first.

Today’s tasks, the training that’s due, the checks and the forms. The tiles and the work are set up for Tessing Valley Care, a made-up company. Yours would be set up for your crews.

The paperwork

What your staff fill out today

01

Rounding log. Who checked which unit, what time, what was found. Open items carry an owner and a due date until somebody closes them.

02

Annual required trainings. Assign a course to a role. Staff finish it on break from their own phone. They get a reminder. When it goes overdue, the lead hears about it too.

03

Cleaning and sterile processing logs. Load check, cycle check, tray sign-off. Photo or video on the steps where you want proof, and a signature at the end.

04

Shift huddle sign-in. Pick the topic, record who was there, get signatures on a phone or at the workstation.

Signal and staff

Basements don't get signal. Night shift doesn't get a trainer.

In the building

Sterile processing in the basement, the lab, the loading dock, a stairwell between wings. The courses, forms and checklists are already on the phone. Photos and video upload later, in the background.

On the shift

Staff share workstations and carry personal phones. Sign them in by text code, employee ID and PIN, or QR badge on a shared tablet. Each record carries the person who did the work, not the device.

At the end of the hall

One tablet by the time clock or in the break room. Staff badge in, finish the assigned course, sign the huddle, and go.

A day on one shift

From the huddle to the end of shift

  1. Step 1

    At the huddle.

The lead opens Today. Assigned trainings and the unit checklist are due this shift. Staff sign the huddle.

  2. Step 2

    On the floor.

Terminal cleans, equipment checks, rounding. Fails open a corrective action and notify the lead.

  3. Step 3

    When something happens.

A spill, a near miss, an injury to staff. The report goes in from the phone with a photo.

  4. Step 4

    In the office.

The manager sees which units finished their checks and whose trainings are coming due, then opens any record behind the number.

Straight answers

Can staff use it on a shared workstation or their own phone?
Yes. Staff sign in by text code, employee ID and PIN, or QR badge on a shared device. The facility picks which.
Does it hold patient information?
No. It records staff training, checks and incidents. It isn't a patient record and it isn't built for patient care. Keep patient details out of your forms and incident notes.
Does it make us compliant?
No. It records and organizes the evidence: who was trained, who checked what, when, and what was found. Your policies and the rules of the bodies that apply to you still decide what compliant means.
