A red semi truck and trailer on an open road

Fleet and transportation

The pre-trip is a walkaround. The record should prove somebody walked it.

PortalBase runs each truck's check on the driver's phone. Scan the tag on the truck, record the walkaround, mark each step Pass, Concern or Fail. A failed critical step can put the truck out of service until the mechanic and the driver both sign it back in.

In the app

What a fleet and transportation crew opens first.

Today’s tasks, the training that’s due, the checks and the forms. The tiles and the work are set up for Wexford Freight Lines, a made-up company. Yours would be set up for your crews.

One truck, one morning

Pre-trip to release

  1. Step 1

    Scan.

The driver scans the tag on the truck. Starting the check can require it. The record shows the driver was at the truck.

  2. Step 2

    Walk it.

Tires, lights, brakes, trailer connections. Each step has its instruction, its evidence and Pass, Concern or Fail. The odometer reading goes on the record.

  3. Step 3

    Fail.

The failed step becomes a repair item with an owner, notes and photos. The truck can't be inspected again or assigned until it's released.

  4. Step 4

    Release.

The mechanic signs, then the driver, in the order you set. Each sign-off is timestamped and can carry the attestation text you write.

On the road

Where the phone loses the tower

01

Rural stops. A fuel stop in the middle of nowhere. The check runs from the template already on the phone.

02

Terminals and docks. Inside a steel building, signal comes and goes. Photos queue and upload in the background.

03

Overnight lots. Set big uploads to Wi-Fi only so a driver's data plan isn't the cost of a video.

Who's driving

Employees, owner-operators and a shared tablet at the yard

On the yard

A shared tablet by the gate. Drivers switch with a PIN or a QR badge, and every record carries the driver's name, not the tablet's.

On the road

Drivers on a personal phone. The app only sees its own data. Location is captured during a check, never in the background.

Straight answers

Does it replace the DVIR?
It's built to hold the same kind of record: who, when, where, the asset, every step's result and signatures. Which form your rules require is your call, and PortalBase doesn't promise compliance.
Can a driver skip a step or add one?
No. Workers can't add, remove or reorder a template's steps. Anything extra goes in a separate linked issue.
Does it do dispatch or time clocks?
No. Dispatch, scheduling and time clocks aren't in the first version.

Send us your pre-trip form.

We'll build it as a template and show you the walkaround on a driver's phone.
