For operations
A failed brake light shouldn't leave the yard.
Inspect the asset. If a critical step fails, it can go out of service on its own. The repair is tracked, signed off and released, and the asset keeps its full history.

What the crew sees
The same app, pointed at this job.
Sample company and data, made up for the picture.
The problem on the ground
The truck failed the walkaround. It's still on the schedule.
The write-up. The driver notes a bad tire on a paper form. The form goes in a box.
The release. Nobody's sure the mechanic looked at it before it went back out.
The history. Ask when the forklift was last inspected and you start digging.
One chain. Failure, repair, sign-off and release live on the asset, in order, with times on each.
How it runs
From a tag scan to back in service
Step 1
Scan the tag
A QR or barcode tag opens the asset. Starting can require the scan, which shows the worker was at the machine.
Step 2
Run the template
Steps in order, each with its instruction and the evidence it needs: photo, video, reading or note. Result is Pass, Concern or Fail.
Step 3
Pull it
A failed critical step can put the asset out of service. It can't be assigned or inspected again until it's released.
Step 4
Repair and release
A repair item has an owner, notes, photos and closure. Sign-offs happen in the order you set, for example mechanic, then driver.
What's on the record
Everything about the walkaround
Who, when, where. Location is captured during the inspection only, never in the background.
Every step. Result, comments, photos and video, and signatures.
Readings. Hours or miles captured during the inspection.
Asset history. Every inspection, repair and sign-off for that asset, in order. Any record exports to PDF.
Set up your way
Your assets, your templates
- Your asset types. A forklift has a capacity and a serial. A truck has a VIN and a DOT number. You define the fields.
- Templates follow the type. Attach "forklift pre-use" to the type and it applies to every forklift under a region.
- Locked steps. Workers can't add, remove or reorder steps. Anything extra goes in a separate linked issue.
- Review queue. Supervisors see failures and concerns first.
Common questions
- Does an inspection work with no signal?
- Yes. The template is already on the phone, and the video and photos save on the device and upload when signal returns.
- Does PortalBase pass or fail a step by itself?
- No. The worker marks each step. A person decides what happens next.
- Is the original video kept?
- The server keeps the original untouched and records when it received it, along with a fingerprint of the file. Playback uses a separate streaming copy.
