Claude, ChatGPT, Microsoft 365 Copilot and Gemini Enterprise can work with your company's PortalBase, in any industry: retail, restaurants and hotels, manufacturing and warehouses, construction and field service, facilities and fleets. Ask what's overdue for your team, who isn't current on a certification, or what a procedure in your company's documents says, and it looks it up. Allow changes, and it can hand out work, record a reading or open a corrective action for you.
It sees only what you can see in PortalBase and can do only what you can. Every change it makes goes in your company's audit log under your name.
1. Before you start
- Your company's admin turns on AI connections in PortalBase, under Setup, then Connections.
- You need your PortalBase sign-in, and the AI tool: a Claude or ChatGPT plan that lets you add connectors, or Microsoft 365 Copilot or Gemini Enterprise through your company.
2. Connect it
- In Claude: open Settings, then Connectors. Find PortalBase, or add a custom connector with the address https://portalbaseai.com/mcp. Select Connect.
- In ChatGPT: open Settings, then Apps. Find PortalBase, or add it by the address https://portalbaseai.com/mcp. Select Connect.
- In Microsoft 365 Copilot: your company's IT admin adds the PortalBase agent in the Microsoft 365 admin center and turns it on for the people who'll use it. Then open Copilot, choose PortalBase under Agents, and select Sign in to PortalBase when it asks.
- Sign in to PortalBase the way you always do. PortalBase shows who's signed in, at which company, and where it will send you back.
- Choose what it may do: look things up only, or look things up and make changes. Then allow it.
3. What it can look up
- Work handed out, what's overdue, and who has it.
- Checklists and inspections, with each step's result, and form submissions.
- Training and certifications: who holds what, and who isn't current.
- Your company's documents, with the passage and page it found.
- People, teams and locations, equipment, corrective actions, and report numbers.
4. What it can change
Only if you allowed changes, and only what your role allows: hand out, reassign, complete or cancel work, open a corrective action, comment on or mark an inspection reviewed, record a meter reading, take equipment out of service, send a notification or announcement, start a workflow, grant a certification, and add or update people.
PortalBase marks the changes that can't simply be added back, like cancelling work or sending an announcement, so Claude, ChatGPT and Copilot ask you before running them.
5. Gemini Enterprise
Companies on Gemini Enterprise can add PortalBase as a custom MCP server.
- Your Gemini Enterprise admin first allows custom MCP servers for the company.
- Then they add a custom MCP server with the address https://portalbaseai.com/mcp, over Streamable HTTP, signing in with OAuth.
- OAuth asks for a client ID and a client secret. Email hello@portalbaseai.com and we'll send them to your admin.
- Each person signs in to PortalBase the first time Gemini Enterprise uses it, and chooses what it may do.
6. What it can't do
- See any other company's data.
- Do anything your own PortalBase role can't.
- Set up webhooks or API keys. A person does that in Setup.
7. Disconnect it
Open your profile in PortalBase and end the connection under AI connections. Your admin can end anyone's connection, or turn AI connections off for the whole company. It stops right away.
8. Privacy
What the AI tool looks up goes to its provider under your or your company's own account with it, and that provider's terms apply there. Our privacy policy at portalbaseai.com/privacy covers the rest.
9. Help
Email hello@portalbaseai.com and we'll help you connect.
